Close the deal (closing)
Completing the deal archives the data room as read-only and builds one closing package as a zip: all documents plus three CSV files with the activity log, document index and NDA acceptances.
When a deal is done, you can close the data room in one step. Arcili archives the room as read-only and assembles a closing package that you download as a zip archive — all documents plus three CSV files documenting the process. The room can no longer be edited afterwards, but participants do not lose access to view the content.
The data room is an add-on module. You find your rooms under Data rooms in the left sidebar.
1Open the settings menu in the room
Open the data room and find the settings menu at the top of the room header. Alongside Settings, Rename and Archive, you will find the item Complete deal (closing).
2Read what the package contains
The Complete the deal dialog explains what happens:
The room is archived (read-only), and a complete closing package is built: all documents, activity log (CSV), document index (CSV) and NDA acceptances (CSV) in a single zip archive.
So the closing package gathers four things into one zip archive:
| Content in the zip | What it is |
|---|---|
dokumenter/… |
All files in the room, in their folder structure |
aktivitetslog.csv |
The full activity log |
indeks.csv |
Document index with 1.2.3 numbering |
nda-accepter.csv |
Participants who accepted the terms (NDA) |
3Archive and build package
Click Archive and build package. The hint below the button reminds you of the order: Once the package is built, the room is archived and can no longer be edited.
While the package builds, Building closing package… appears with a progress indicator counting the documents. The package is built first and the room is archived last — meaning that if the build fails along the way, the room stays active and untouched.
When everything is ready, the zip file downloads automatically and you see the confirmation The closing package has been downloaded — the room is archived.
4Badge: Deal completed
After closing, the room gets the badge Deal completed. The room is now archived and read-only — the banner This data room is archived — the content is read-only appears at the top, and nothing more can be uploaded or shared. Archived rooms no longer count towards your data room limit.
What the CSV files contain
The three CSV files are semicolon-separated with a BOM, so Danish Excel opens them correctly.
aktivitetslog.csv has the same columns as the log export from the Activity tab:
indeks.csv has the columns Index, Name, Type and Size, and follows the same 1.2.3 numbering as the file list.
nda-accepter.csv has the columns Email, Signed name and Time — and contains only the participants who actually accepted the terms.
If the package fails
If the zip package cannot be built (for example because a single file could not be fetched), the room is not archived automatically and you get an error message. In the cases where the room was archived but the package still failed, you see:
The room was archived, but the package failed — try exporting from the Files tab. Use Download all (zip) on the Files tab to fetch the documents, and Export log (CSV) on the Activity tab to fetch the log.
