Activity log and insights in a data room
The Activity tab tracks every action in the data room: who viewed what, when, and what they downloaded. Follow the timeline, see insights per participant or document, and export the full log as CSV.
The Activity tab in a data room lets you follow everything participants do: views, downloads, sharing, NDA acceptances and changes. All guest activity is named, because guests confirm their email with a one-time code before any content is shown.
The data room is an add-on module. The Activity tab exists in every room, but guest views and section tracking require that guests have opened the room.
1Open the Activity tab
Open the room under Data rooms and select the Activity tab. Four key figures sit at the top, with three views below them.
If a room has many events, the note "Based on the latest events — load more for the full picture." appears. Use Load more to pull in the rest of the log.
2Switch between the three views
You can see the same activity from three angles:
- Timeline shows events in chronological order, grouped under Today and Yesterday.
- By participant rolls up each person's activity: "{docs} documents · {views} views · {downloads} downloads".
- By document shows how many participants and views each document received.
3Filter the events
Below the views you can narrow the log with four filters:
Guests shows only what external guests did, Files shows file events (view, download, upload, folder created, deletion, restored, versions), and Sharing shows invitations, share links and NDA acceptances.
4See section tracking per participant
In the By participant view, each participant shows a Sections viewed section with the number of visits per tab — for example, how many times a bidder opened Property info or Q&A. If a participant opened the room without viewing documents, it reads "Has opened the room but not viewed documents yet".
5Which events are logged
The log covers the whole room, not just files. Examples:

6Export the log as CSV
Click Export log (CSV). The file has the columns Time, User, Action, Document and Details.
If the log is very long, the export is truncated to the latest 20,000 events — the text "The log is very long — the export was truncated to the latest 20,000 events" appears in that case.
The activity log is also retained after a GDPR clean-up, where the documents themselves are deleted — so you keep the record of who saw what.
