Watermark and download control
Stamp guests' document views with their email, and control downloads on three levels: the whole room, per participant and per share link. Let guests download everything as a zip — or export it yourself.
In a data room you decide both what guests see and what they can download. The watermark makes every document view traceable, and downloads are controlled on three levels: the whole room, the individual participant and the individual share link. The data room is an add-on module.
The room-wide settings sit under and . Open them from the settings menu at the top of the room.
1Turn on the watermark for viewing
Under you'll find Watermark on viewing. It is on by default.

Guests' document views are stamped with their email — screenshots can always be traced.
When a guest opens a document, their email is laid over the view as a diagonal, tiled watermark. That means any screenshot always carries the name of whoever took it.
All guest access is already named, because guests confirm their email with a one-time code before any content is shown. The watermark adds the visible traceability to the document itself.
2Choose whether downloads are allowed for the whole room
Under , Allow downloads controls the entire room. It is on by default.
When off, participants can only view documents in the app — not download them.
With downloads off, the document shows Downloads are disabled, and the download button disappears for the affected participants.
3Control downloads per participant
The room-wide setting can be overridden for an individual. Go to Share and participants, open the participant's menu and choose under Downloads:
A participant with downloads blocked gets the badge Downloads: off; otherwise Downloads: on. The participant can still view the documents in the app — only the download itself is blocked.
4Control downloads per share link
When you create a share link, you set Downloads for link guests on or off directly in the share-link dialog. The choice is saved on the guest at first visit and can be changed per participant afterwards under Sharing.
5Let guests download everything as a single zip
To let guests pull the whole room at once, turn on Bulk download (zip) under .
Let guests download all documents as a single zip archive. You can always export the room yourself.
6Export the room yourself: Download all (zip)
From the Files tab you can always pull the whole room with Download all (zip). The archive is built in the browser with folder structure while progress shows: Fetching {done} of {total} documents…
Keep two things in mind:
Download-blocked documents are left out of the archive. If some are blocked, you'll see {count} download-blocked documents were left out of the archive. If everything is blocked, no zip is produced: All documents are download-blocked — nothing to export.
The browser export has a ceiling of approx. 1.5 GB. If the room is larger, the export is declined with The room is too large for browser export (max approx. 1.5 GB) — download in smaller parts. Download in smaller parts, or use the closing package when you close the deal.
If bulk download is disabled for guests, that only affects their button — as a room owner you can always export it yourself.
