Share a data room with a link
Create a share link for a data room: set the role, expiry (7, 30 or 90 days, default 30), downloads and NDA for link guests. Guests verify their email with a one-time code, so activity is named. Copy and revoke as you go.
A share link gives access to a data room without you knowing the recipients' email in advance. You set the role, expiry and whether link guests may download and must accept terms — and each visitor verifies their email with a one-time code, so all activity is named in the activity log.
The data room is an add-on module. Share links are created in an active room — you cannot share from an archived room.
1Open Sharing & participants
Open the data room from Data room in the sidebar, and go to the Sharing & participants tab. It has three sections: Participants, Pending invitations and Share links.
2Create the share link
Click Create share link under Share links. The dialog opens with four choices:
Role for link guests — Can view or Can view and upload Expires — In 7 days · In 30 days · In 90 days Downloads for link guests — Inherit from room (on) · Allow download · Block download Terms (NDA) for link guests — Inherit from room (not required) · Require acceptance · Exempt
- Role for link guests: link guests can only be Can view or Can view and upload — not the administrator role.
- Expires: choose 7, 30 or 90 days. The default for a share link is 30 days.
- Downloads for link guests: let it inherit the room setting, or set Allow/Block specifically for this link.
- Terms (NDA) for link guests: inherit the room setting, or Require acceptance/Exempt for this link.
Hint in the dialog: "The choices are stored on the guest at first visit and can be changed per participant under Sharing afterwards." So you can fine-tune downloads and NDA per person once a guest has opened the room.
Click Create link to create it. You get the message Share link created.
3Email and one-time code make access named
A share link does not require a password. Instead each visitor verifies their email: "Visitors must verify their email with a one-time code, so all activity is named." The guest enters their email, receives a 6-digit one-time code (OTP) and opens the room. From then on their views and downloads are tied to that email in the activity log.
4Copy and share the link
After creation the link appears under Link. Click the copy icon — it switches to a check mark and you get the message Link copied. Send the link to recipients on whatever channel you choose.
5Status and revoke
Every active share link is listed under Share links with its expiry date (Expires {date}). A link past its expiry date is shown with the text Expired in the list.
To close a link immediately, click the text button Revoke. The link stops working and is removed from the list of share links — there is no revoked link left in the list.
Revoking and expiry stop new visits via the link. Guests who already entered through the link appear as participants under Participants with the origin "joined via share link" — their access is then managed per person.
