Bidder groups and folder visibility
Divide guests into groups and control per folder who sees what. Create groups on the sharing tab, assign participants to a group, and restrict individual folders to selected groups. Guests without restrictions see everything.
With bidder groups you can divide the guests in a data room and control per folder who sees what. This is useful when several bidders share the same room but should not see each other's material or confidential folders.
The feature is part of the Data room module, which is an add-on. The seller side (you as owners) always sees all content — the restrictions apply to guests only.
1Create a group
Go to the Sharing & participants tab. Under the Bidder groups section, type a name in the field (e.g. "Bidder A") and click Create group.
Divide guests into groups and control per folder who sees what. Each group shows its participant count. Guests without a group see all content without group restrictions.
Groups are managed on the sharing tab. Each group shows how many participants are assigned to it.
2Assign a participant to a group
In the participant list, open a participant's Participant settings. Once at least one group exists, the Group field appears with a selector.
- 1Pick a group from the list to assign the participant to it
- 2Choose No group to remove the assignment again
A participant can only be in one group at a time.
3Restrict a folder to specific groups
Go to the Files tab. Open the folder's menu and choose . Tick the groups that may see the folder and click Save.
| Choice | Who sees the folder |
|---|---|
| All participants | No ticks — the folder is visible to everyone |
| Restricted | Only the selected groups (and your own team) see the folder and its contents |
The restriction is inherited by subfolders and files inside the folder. A guest without a group does not see a restricted folder. Folders with no selection stay visible to all participants.
Only owners and administrators can change folder visibility. The menu item is shown to them only.
4Delete a group
Click Delete group next to the group and confirm. Members lose their group assignment, and folder restrictions for that group are removed — the folders and their contents are not deleted.
